Collections documentation practices: a critical perspective: International Conference EVA 2006 London Conference, “Electronic Information, the Visual Arts & Beyond”, 26/07 – 28/07/2006 in The Institute of Archaeology, UCL, London.

This paper/poster introduces the threefold dimension of collections documentation as activity, means and product. After an examination of current documentation practices through well-established documentation standards, we argue that in current practices, documentation functions as means for preservation and care of museum objects. However the function of documentation as a means that improves understanding, interpretation and engagement with collections is not supported, because of the current structure, the scope and purpose of documentation. Finally, a new approach that invites users' perspectives in documentation is proposed.

GLAM metadata in museums and university collections: a state-of-the-art (Spain and other European countries)

Purpose The purpose of this study is to determine which metadata schemas are used in the museums and university collections of the main universities in Spain and other European countries. Although libraries and archives are also university memory institutions (according to a Galleries, Libraries, Archives and Museums perspective), their collections are not included in this study because their metadata systems are highly standardized and their inclusion would, therefore, skew our understanding of the diverse realities that the study aims to capture. Design/methodology/approach The analysis has three components. The first is a bibliographic review based on Web of Science. The second is a direct survey of the individuals responsible for university collections to understand their internal work and documentation systems. Documentation of Contemporary Art: The Case Study of a Private Collection.

Documentation and registration of works of art have been progressively acknowledged as a conservation tool, being an extremely important security and work instrument for museums. Documentation along with preventive conservation should be part of good conservation practices hence contributing to the physical maintenance of an object. A rigorous and accurate collection register is fundamental, especially in modern and contemporary art. The Manuel de Brito's Collection, managed by the Art Center in Algés, is one of the most important collections in the Portuguese modern and contemporary art. The purpose of this work is to contribute to its preservation, considering the possibility of developing an applied research work. Therefore, an inventory of the artwork collection was performed, as well as an assessment to its conservation status.

The Museum as Information Space: Metadata and Documentation

Although museums vary in nature and may have been founded for all sorts of reasons, central to all museum institutions are the collected objects. These objects are information carriers organized in a catalogue system. In this chapter, the museum will be conceived as an information space, consisting of an information system related to different methods of reasoning. We will highlight the new possibilities offered by digital technology and the changes brought by the way in which visitors come into contact with objects. Our central claim is that the visitor moved from being onsite within the museum's information space to being outside the museum in the online information space of the Internet. This has fundamental implications for the institutional role of museums, our understanding of metadata and the methods of documentation. The onsite museum institution will, eventually, not be able to function as an institutional entity on the Internet, for in this new information space, objects, collections and museums, all function as independent components in a vast universe of data, side by side at everyone's disposal at anytime. Potentially, users can access cultural heritage anytime, anywhere and anyhow.

This paper aims to participate to the dialogue about the content management systems for handling enriched museum information. We will argue that the collections management systems (CMSs) used today leave out important and valuable interpretative data created in the daily work of the museum. A review of the currently used systems and a presentation of the advantages and disadvantages of those will support the argument. Furthermore museum theory and practice that articulates the interpretative framework towards content management will be discussed along with some efforts to approach such a future development.

Beyond Documentation: An Analytical Approach towards the Future of Museums as Information Centres

In view of the records preservation status in Zimbabwe’s National Museums, this study tries to ascertain the future of museums as information centres. Using the records life cycle principle and the continuum model which state that documents should be properly managed from the time they are created until their ultimate disposal, this study examined the preservation strategies employed by Zimbabwe’s National Museums to ensure their records survive into the future.
