- Many PT and other rehab practices we work with come to us not realizing how much time they’re spending calling patients to book visits. It adds up: The average phone call to book a patient visit… 2 to 3 minutes On average, it takes 4 to 5 calls to get one booked. Multiply that by hundreds, thousands, etc... Alec Baliatico advises setting a goal to get software to schedule 40 percent of visits so you can free up front office staff to focus on more meaningful work. The data supports this goal: 68% of patients prefer online scheduling. They cancel appointments booked online less, too (26% lower cancellation or no show rate) And the most popular time for scheduling appointments is 4-8 p.m. Sunday. So if you’re not using tools that fill cancellations or empty spots on your schedule, and reminding therapy patients that they’re underbooked (via text or email), then you’re missing out. Or you really enjoy making phone calls ;)

- Looking to build out growth opportunities for rehab therapists so that they’re inspired and motivated to stay in traditional care roles at your practice? Dr. Josh Funk at Rehab 2 Perform joined us to share what his company has built out: - New Clinic Lead - These people have to be good at building, leading, and selling. “They've got to build themselves; build the service that we have. They have to be able to lead themselves, lead others. And then sell themselves, and sell the company,” he explained. They typically identify people that are those triple threats early on and can participate in an internal leadership program. He says one key to placing people in charge of new clinics is placing them in the communities people grew up in, which reduces work-life balance friction. - Intrapreneurial Roles - These include overseeing a department in addition to seeing patients. Almost like a side hustle. Therapists might lead up postpartum care, concussion rehab, or even running analysis. “They take ownership over [these programs] as an entrepreneur, but underneath obviously our entrepreneurial umbrella. They use our ecosystem, they use the resources of the company to pour into a passion project, and ideally increase their earning potential.” - - - Looking to build something similar at your practice? - The biggest expense of any PT or rehab therapy practice: Providers sitting in a practice without patients to treat. We’ve typically seen that represent 20-30% of a provider's day if not actively addressed. If you’re trying to improve efficiency and practice profitability, Alec Baliatico recommends setting a goal of 90% utilization–assuming your practice is at a place where providers are not overburdened with cumbersome documentation. First, make sure you’re able to accurately measure capacity utilization (the bandwidth your team has to deliver care that is filled with completed visits) across providers. Tracking the differences between capacity, patients scheduled, and completed visits can help you identify when to - Follow up with patients more to book more evals - Redistribute caseloads for overstretched providers - Hire more therapists Then, to improve capacity utilization: - Meet with your scheduling team to recommend more ways of following up with patients to get them in for appointments - Work with low-utilization providers to increase their visits and address gaps in the patient experience One option to consider to incentivize getting everyone to 90%: Bonusing high productivity rates.
