A Framework for E-Office in UiTM

2005

E-office consists of applications that support the administrative and management functions of the office. These include scheduling system, booking system and leave application. In Universiti Teknologi MARA (UiTM), the staff force consists of nearly 15,000 academic and non-academic employees in 22 faculties and administrative offices. Currently the staffs face problems in administrating office tasks. These problems include poor retrieval of information, poorly organized office jobs, out-of-date or inaccurate information, misplaced and poorly designed forms as well as there being no confidentiality and privacy for applicants. Therefore, the requirement to implement e-office applications is highly critical. However, there have been no formal studies in requirement analysis for E-Office applications in this institution. Accurate understanding of the user requirement is essential, as it will determine the acceptance and its subsequent usage of e-office applications. Thus a survey was carried out amongst staffs to identify the user requirement for e-office applications that need to be implemented in UiTM. The analysis of the results shows that the majority of the respondents gave positive responses towards e-office implementation. Based on the result, we have come out with a framework for the e-office applications.

International Journal of Engineering & Technology, 2018

Document management in an organization is very important because it is not only to facilitate the documents retrieval, but also to enhance the competitive power of the organization. For this purpose, Faculty of Vocational Studies Airlangga University applies electronic document management, called e-office. The e-office system is implemented to manage the existing administration system at Airlangga University, where users can create letters, make deliveries, receive letters, reply letters and make memos. This study aims to determine e-office utilization in the environment of the Faculty of Vocational Studies Airlangga University. Research method used is a descriptive quantitative approach. The target population in this research is Vocational Faculty Employee who has e-office account. The sampling technique used is a census technique or a full sample. Development of E-Office Information System in Administration Faculty of Engineering, State University of Padang

Jurnal Paedagogy

Office management plays a very important role in an organization or institution that provides many information and data management services. As a result, management services often have time, energy, and cost inefficiencies. Therefore, we need an information system that can support the management process so that it can be executed effectively and efficiently. The method used to develop this system is the method of software development using the DevOps (Development and Operations) development model. This model consists of several stages including the planning stage, the needs analysis stage, the design stage and the implementation stage. This model allows system administrators to integrate with IT professionals during the system development process. This system architecture is based on Model-View-Controller, which uses the Yii2 framework in the PHP programming language. The result of this final project is the creation of an E-Office information system that includes several services su...

INFORMATION TECHNOLOGY INNOVATIONS IN OFFICE MANAGEMENT -A CASE STUDY

Paperless automated management system is the current trend in the market. The office which deals with the administration of the college has several responsibilities like student admission, document collection and verification, fee collections in various streams like admission, examination, attendance report, internal assessment report, general notices etc. Recently we have developed software called Information Management System (IMS) for the office management which automates all the services of the office management system. This paper presents the implementation of IMS for the office management system which include automated monthly attendance report, automated internal assessment marks, information about the students and their parents, information about the various types of fee collected from the students, study materials submitted by the staff members. It also provides information about the performance of the students to the parents by means of sms, email services. The system also helps salary calculations, salary report generation of the staff members etc. This paper also highlights the development of the software using open-source with server side implementations.

An Implementation and Evaluation of Web-Based Appointment System for the Mindanao State University – Main Campus

Journal of Information Systems and Informatics

The Office of the University President of the Mindanao State University in Marawi City has the reputation of being one of the busiest in the university. It handles a variety of concerns, ranging from employee matters to matters of concern coming from the other campuses in the university system. However, matters became greatly complicated when the pandemic began and the hard lockdowns that followed forced everyone to stay at home or work remotely. It was observed that an existing perennial problem at the Office of the President was a lack of an efficient system to handle appointments, which resulted in wasted time and tasks delayed or undone. Hence, the aim of the project was to improve client waiting time by implementing a web-based appointment system. The researcher used two (2) models: the System Usability Scale and Technology Acceptance Model to evaluate the system. As a result, the system has a high level of satisfaction with a percentage of 90.2 from the user based on the overa...

Analysis of E-Office System User Satisfaction at Land Office Pekanbaru City Using End User Computing Satisfaction Method

Jurnal Teknik Informatika (Jutif)

An E-Office system is available at the National Land Agency, which is part of the Ministry of Agrarian Affairs and Spatial Planning and the National Land Agency. It is designed to make office administration easier. However, the use of E-Office is still not optimally used, such as the minutes feature that is underused, errors in sending letters that are sent not as desired, the dashboard display is less attractive and the guide menu cannot be accessed because of a link error. The purpose of this study is to evaluate user satisfaction with the E-Office system and identify its results. The End User Computing Satisfaction (EUCS) method with six variables (content, accuracy, format, ease of use, timeliness, user satisfaction) was used by researchers to assess user satisfaction with the E-Office system. 37 individuals from the E-Office system user population comprised the sample. The results of the proposed hypothesis test show that the hypothesis is accepted and has a significant effect ...

Advancing the Efficacy of the College Office Management System of the Bulacan State University through the Implementation of a Network-Based Application

— The major concern of the research study is the development of a network-based Office Management System for the different colleges of the Bulacan State University that will automate all the transactions done inside the dean's office of each colleges. The beneficiaries of the system includes the deans, college secretaries, student assistants, computer technicians and faculty members of the different colleges. In order to develop a quality system, Iterative Waterfall Model was used. The system was developed using VB.Net and SQL Server as the development tools in developing the system. The Office Management System has the following important features: portability, low maintenance, user-friendliness, scalability, security. The Office Management System was evaluated based on the five acceptability issues with their corresponding computed mean performance which includes reliability, efficiency, accuracy, user friendliness and security of the system. The overall weighted mean is 4.71 with verbal interpretation of ―Excellent‖ shows that the developed system is highly acceptable for implementation.
